Notes from a PCO Sustainability Is Not a Theme; It’s an Operating Principle

In 2020, Waridi Events as a pioneer Kenyan event management company and professional conference organiser (PCO) conducted market research on the adoption of sustainable practices within Kenya’s events industry. The study examined how sustainability was understood, the barriers to uptake, and the role of Event planners, events organisers and clients in advancing responsible event management services.


The findings highlighted a clear need for leadership from event planning companies, locally grounded solutions, education across the vendor ecosystem, affordability, and client awareness. Sustainability could not be driven by intent alone; it required structure, shared responsibility, and informed decision-making to plan and steer large scale conferences and business events.


Six years on, the industry has matured. At Waridi Events, sustainability has evolved from a conceptual aspiration into an operating principle that informs how conferences are planned, resourced, and delivered across our corporate event management services.


This approach was demonstrated at the Inaugural PAFMA Conference, hosted at Radisson Blu Hotel, Nairobi Upper Hill, from 27–28 January 2026. 



A critical enabler was alignment with a client whose organisational policies embed ESG principles, allowing sustainability to be treated as a planning requirement rather than an afterthought.


1. Registration: Reducing Waste Through Systems



A fully digital registration process was implemented, eliminating printed forms, paper confirmations, and manual on-site workflows. Attendees were issued biodegradable name badges without plastic sleeves, significantly reducing single-use materials.



Beyond waste reduction, the system improved planning accuracy, reduced on-site congestion, and enabled more precise resource allocation. For modern corporate event organiser companies, digital event registration and controlled on-site printing are practical tools for responsible conferencing, delivering both sustainability and operational efficiency.


2. People: Sustainability Includes Capacity Building


Responsible conferences contribute to the long-term strength of the events management ecosystem. For this conference, social sustainability was embedded by engaging students and trained professionals from The Events Academy.


Alumni supported both front-of-house roles as event ushers and back-end functions within the project planning team. This approach provided meaningful professional exposure while strengthening local capacity beyond the duration of the event which within it is an essential responsibility for event planning firms and event production companies.



Cultural sustainability was also reflected through collaboration with Burundi drummers, who opened the conference with a live performance, supporting regional creative practitioners while enriching the delegate experience.


3. Giveaways: Supporting Local Value Chains


With a predominantly Pan-African delegate profile, giveaways were curated to reflect place and purpose. Waridi partnered with Aesthetic Experiences, a local branding and giveaways company known for intentional, sustainable curation.



Delegates received locally sourced items including Maasai shukas, tea from Muthaiga Tea Company, and a branded lapel pin. These choices reduced reliance on imported promotional items while supporting Kenyan producers and craftspeople.


4. Stage Design: Sustainability by Design, Not Messaging


Conference stage construction often relies on materials with limited post-event use. For this event, lifecycle thinking informed the design process.


The stage backdrop, supplied by Pneuma Audiovisual, was constructed entirely from fabric, with no plastic or PVC components. All elements were modular and designed for reuse. The fabric backdrop can be repurposed after the event, extending its lifecycle while reducing waste.


The material choice also enabled faster installation and breakdown, demonstrating that sustainable design can improve operational efficiency rather than compromise it.


5. Reusable Branding: Planning Beyond a Single Event

Event branding was also curated by Aesthetic Experiences, aligning the visual identity with the client’s brand guidelines while prioritising reuse and material responsibility.


Directional signage and branding assets utilised recyclable boxes. Where PVC use was unavoidable, such as in roll-up banners, materials were intentionally repurposed into durable bags used for transporting event equipment and accessories.


These outcomes depend on early agreement during the project planning phase. Sustainable results are rarely achieved through last-minute decisions; they require structured material planning from the outset.


6. Working With the Right Sustainability Partners


Sustainable outcomes are strengthened through values-aligned partnerships. For this conference, Waridi collaborated with partners whose operations align with recognised sustainability frameworks.


Pneuma Audiovisual is a member of the United Nations Global Compact and PAKPRO, supporting responsible production and waste management standards. As part of their delivery process, Pneuma also provides a post-event sustainability report, offering transparency on material use, waste handling, and opportunities for continuous improvement across future conferences.



The conference was hosted at Radisson Blu Hotel Nairobi Upper Hill, whose sustainability practices support responsible hospitality, energy efficiency, and waste reduction.


Aligning with partners who embed sustainability into their operations enables more credible and consistent outcomes across the conference lifecycle, an essential standard for leading event management companies.
