So how does a professional event manager remain calm in the midst of complex event coordination? We break it down below.
Pre-Event Preparations
Our event coordination process begins one to two weeks before the event. During this period, we create a detailed staffing plan that maps out all required coordination roles.
We treat each event space as a “mini event,” with its own team lead, typically one of our event coordinators, supported by field assistants or ushers.
The staffing plan clearly defines the on-ground project hierarchy. Each team member is focused on a specific execution area, allowing the Lead Event Planner to concentrate on troubleshooting, oversight, and acting as the primary client liaison.
During pre-event preparations, we also develop the run-of-show. This is a minute-by-minute blueprint of the entire event, outlining what is happening, where it is happening, who is responsible, required turnarounds, and any additional notes. The run of show is a dynamic document that evolves collaboratively alongside the event program.
Event Setup and Technical Rehearsals
One of the most critical components of successful execution is allocating sufficient time for load-in and setup. The duration is guided by the size and complexity of the build. At Waridi, we typically advise clients to allow at least one full day for event setup and technical rehearsals, even for smaller builds. This provides ample time for installation, addressing last-minute requirements, and conducting thorough technical rehearsals.
The setup schedule, usually created by the Audio Visual company, provides an hour-by-hour breakdown of all components. When combined with branding setup lists and production requirements, this ensures a well-orchestrated build. For technical rehearsals, we request the presence of the MC and speakers so we can walk through the AV run-of-show and confirm that all technical elements are fully aligned.
Meet the Team That Makes It Happen
On event day, execution becomes a well-orchestrated machine. We establish a secretariat table/ secretariat room that serves as the command center for the Event Planner and Assistant Event Planners. These are the architects of the event experience, responsible for designing flow, anticipating challenges, and ensuring every detail aligns with the client’s objectives.

The registration team is led by a Registration Lead who oversees the attendee check-in process. The number of registrars and the solutions used are guided by attendee volume and the client’s preferred registration approach. Our best-practice recommendation is always to use registration software with on-site badge printing, ensuring fast, efficient, and seamless service.
Our field assistants, or event ushers, are our boots on the ground. They manage crowd flow, guide participants between spaces, assist speakers with last-minute needs, and support attendees requiring help during the event. Their presence is essential to creating a smooth and positive guest experience.
The final component of our coordination structure is Front of House, commonly known as FOH. This is where all technical execution is managed. FOH serves as the command center for the Producer, whose role is to oversee the on-stage program and coordinate the AV team, including lighting, sound, video, livestream, and stage management. The Producer works from a detailed AV run-of-show that synchronizes every technical cue.
